Maintenance Administrative Assistant

JOB PURPOSE: The Maintenance Administrative Assistant is responsible for file maintenance, general office duties and tracking of BJ Maintenance equipment, parts and inventory.


?Maintain all unit files pertaining to Maintenance and Electronics, to ensure all Maintenance and Electronic files are to BJ specifications.
?Sign-out Pre/Post Trip Books to Drivers and Operators. Prioritize all Pre- and Post-Trip Reports. Post reports on the Maintenance board of all trip sheets indicating repairs needed. Report defects noted on Pre/Post-Trip Reports to Lead Mechanics.
?Collect weekly Driver?s Logs from all Maintenance employees and submit to District Administrator.
?Record, file, and track all documentation related to DOT requirements.
?Document all 250-hour, quarterly and annual inspections, track all equipment inspections and alert Shop Lead/Foreman when inspections are due.
?Process new Maintenance employees (issue LOTO equipment, prepare employee files, process IS requests).
?Assist with Daily Maintenance expense reports.
?Organize and maintain reference collection of operator?s and service manuals. Ensure manuals are current and update as needed.
?Track all inventory levels associated with the Maintenance and Electronics Departments.
?Record all equipment recalls and follow-up to ensure updates are completed.
?Follow-up on 3rd Party farm outs, to include BJ equipment out for repairs and parts on order.
?Record and file all oil sample reports. File oil analysis reports and deliver oil samples to Post Office on weekly basis.
?Assist in Maintenance Audits.
?Transcribe Shop Work Orders and upload to P Drive.
?Prepare office supply order, coordinate hotel reservations, and maintain staff roster.
?Maintain a supply of all forms used by Maintenance Department and ensure they are readily available to employees.
?Maintain record of equipment recalls and follow-up with Coordinators to ensure updates are completed.
?Create documents, signage, reports, and spreadsheets for departmental use.
?Coordinate Maintenance staff training (schedule yard and road assessments, prepare tracking sheets for Leads to follow-up on required training of employees, work with 3rd party trainers to schedule classes).
?Assist Shop Foremen with special projects (collect required documents for DOT pool, type agendas and prepare handouts for maintenance staff meetings, etc.)
?Process UPS shipments (such as unit files and maintenance records for other field offices) and enter on ?Documents Shipments? spreadsheet on X Drive.
?All other duties assigned.


While performing the duties of this job the employee will spend a majority of the time indoors in environmentally controlled conditions, such as an office or storage facility. The employee may occasionally be exposed to fumes or airborne particles; toxic or caustic chemicals; and outside weather conditions.
While performing the duties of this job the employee is regularly required to sit, stand, and walk; reach with hands and arms, manage and lift up to 100 pounds, and maneuver mechanical equipment in a confined space. The vision requirements include: close vision, far vision, peripheral vision, and ability to adjust focus.


?High school diploma or equivalent
?2+ years applicable work experience
?Must be able to operate a forklift and pallet jack
?Must be able to manage 100 lbs and lift 50 lbs
?Strong communication skills (verbal and written) and active listening skills
?Strong critical thinking and problem solving abilities
?Attention to detail, ability to multitask, and strong organizational skills required
?Proficient with Microsoft Word, Excel, Outlook

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
